This privacy notice explains how I collect and use your personal data. As The Clutter Coach, I am responsible for ensuring that all personal data is kept private, safe and secure in accordance with the General Data Protection Regulation (GDPR).
If you have any questions or concerns about how I handle your data, please contact me, Paul Barber, at email@example.com or on 07399 899004.
You may also contact the Information Commissioner’s Office (ICO) on 0303 123 1113. I am registered with the ICO under reference ZA249442.
WHAT DATA DO I COLLECT?
I only collect and process data that you are willing to share and that is required for me to work with you as a clutter clearing practitioner and provide you with the best service according to your specific circumstances. This includes:
Your name and address
Your phone number(s)
Your email address
Any social media identities you wish to share
Information obtained during our initial communications about your personal circumstances and why you would like to use my services
Subsequent communications by email, text, phone, or via online platforms such as Skype
Written summary notes of our work together.
All information is kept as accurate and up-to-date as possible. Please let me know if at any time your personal information changes.
SPECIAL CATEGORIES OF DATA
Sensitive data: This includes details about your race or ethnicity, religious, cultural or philosophical beliefs, sex life, sexual orientation, political opinions, finances, and information about your physical and mental health. I do not require you to disclose sensitive data. However, in the course of our work together, you may voluntarily share such data with me and that may be recorded in the summary notes of our sessions.
Photos: As part of my service, I may offer to take ‘before’ and ‘after’ photos of areas of your home or office as a means of demonstrating progress in our work. You may decline or accept this offer. I may also ask to take photos for publicity and/or reference purposes. I will take care to ensure that the photos do not contain any elements that could identify you personally. All images will be kept safe and secure and will not be shared without your agreement.
I will require express consent to process your sensitive data and/or photos. I will, therefore, ask you to sign a consent form before we work together.
LEGAL GROUNDS FOR PROCESSING YOUR DATA
The legal grounds for processing your data are: (a) the performance of a contract between you and me and/or taking preparatory steps towards entering into a contract; and (b) my legitimate interest in responding to approaches from potential clients, in communicating with clients, in keeping records for legal and insurance purposes, and in improving the service I provide to clients.
HOW I USE YOUR DATA
I only use your data for the purpose of providing a service that is tailored to your circumstances, requirements and needs. As I work alone, I may provide details of your name, address and phone number to a ‘security buddy’ (usually a close family member) at the time of our first meeting. They will only have access to this for the duration of each session.
Your situation may be mentioned to others in the context of my own services, in my writings, or to consult with my professional advisers, but this will only be done in such a way that you will be completely unidentifiable (for example, “a person I once worked with…” or “a clutter clearing consultation I once did…”).
Apart from this, no personal information will be shared with a third party without your consent, unless required by law or relevant regulatory authorities.
STORAGE OF YOUR DATA
All data in physical form is kept in a secure location. Electronic data is kept in secure software that is password protected and is accessed via a computer, laptop, tablet or phone that is also password protected. Although emails and texts are accessed via password protected accounts and devices, I have no control over the privacy and data retention activities or policies of the email and phone service providers.
Cookies are used to improve your interaction with this website. Most browsers accept cookies, but you can decline them by changing the settings on your browser.
THIRD PARTY LINKS
My website contains links to third party websites. They have their own privacy policies and I take no responsibility for the protection of any data you provide to those sites.
HOW LONG WILL I KEEP YOUR DATA?
As required by my professional indemnity insurance, I will keep your data for a period of seven years from the date on which we last worked together. After that, I will retain just a brief note of your name, contact details and the nature of our work together.
You have the right to access any data I hold on you and to ask for any information to be corrected or deleted, subject to any legal obligation on my part. I will try to respond to all legitimate requests within 30 days. Further information about your rights can be found at www.ico.org.uk.
